Privacy at MyDeenCamp

Clear, careful and family-first.

This policy explains what information we collect, why we need it, how we protect it and the choices available to families.

Who we are

MyDeenCamp provides online and on-campus Islamic learning programs from Milton, Ontario. In this policy, “MyDeenCamp,” “we,” “us” and “our” refer to the organization operating mydeencamp.ca and its programs.

Information we collect

We limit collection to information reasonably needed to operate our programs, communicate with families and keep learners safe.

Registration and contact

Student and guardian names, date of birth or age, gender, address, email, telephone number, selected program, attendance format and information a family chooses to provide about allergies, accessibility or learning support.

Learning and participation

Class schedules, attendance, teacher notes, announcements and progress reports connected to a registered learner.

Consent choices

Your choice about classroom group photography and other permissions requested for a program. Declining optional photography consent does not affect registration eligibility.

Account and technical data

Email-based sign-in records, user role, security logs, IP address, browser or device information, and essential cookies used to keep the website and portals secure and functional.

Payment records

Stripe processes payment card information. MyDeenCamp receives transaction identifiers, payment or refund status, amount, currency and payer contact details, but does not receive or store the complete card number.

How we use information

  • Process registrations, manage capacity and deliver the selected program.
  • Communicate confirmations, payment status, schedules, changes and safety information.
  • Create secure Member and Staff access and display information appropriate to each role.
  • Support teaching, attendance, learner progress and reasonable accommodation.
  • Process payments and refunds, maintain financial records and prevent fraud.
  • Protect the website, investigate misuse and meet legal or regulatory obligations.

We will request additional consent before using personal information for a materially different purpose unless the law permits or requires otherwise.

Children and meaningful consent

Most registrations for children are submitted by a parent or legal guardian. The adult completing registration confirms they are authorized to provide the learner’s information and make the consent choices shown in the form.

Information about children is used only for registration, payment, program delivery, safety, communication and learner progress. Photography consent is presented separately so families can make a clear choice.

When we share information

We do not sell personal information. We may share only what is needed with:

  • Authorized teachers and staff who require the information to administer or deliver a program.
  • Stripe for secure payment, subscription and refund processing.
  • Website, database and email providers that host or transmit information on our behalf, including WordPress hosting and Titan email services.
  • Professional advisers, emergency services or authorities where reasonably necessary for safety, legal claims or compliance with law.

Some service providers may process information outside Canada. Their privacy laws may differ, and information may be available to lawful authorities in those locations.

Security and retention

We use role-based access, encrypted website connections, time-limited sign-in links, payment processing through Stripe and administrative controls designed to protect information against unauthorized access, loss, misuse or disclosure.

No system can guarantee absolute security. We retain information only while reasonably needed for program administration, safety, financial and legal obligations, dispute resolution and legitimate operational records. When information is no longer required, we take reasonable steps to delete, anonymize or securely dispose of it.

Your choices and rights

You may ask to access personal information held about you or your child, request a correction, withdraw optional consent, or ask about deletion where retention is not required for legal, safety or operational reasons.

To protect families, we may need to verify identity and authority before completing a request. Withdrawing information required to provide a program may limit our ability to continue that service.

The website uses essential cookies for security, sessions and core functionality. If optional analytics or additional address services are introduced, this policy and any relevant notice will be updated.

Updates to this policy

We may update this policy when our programs, technology, service providers or legal requirements change. The effective date at the top of the page identifies the latest version. Material changes will be communicated where appropriate.
